Willowbrook Camping And Activities Limited - Terms and Conditions of booking:
FIRSTLY, PLEASE BE AWARE THAT WE ARE NOT A PARTY SITE. WE HAVE A VERY STRICTLY ENFORCED CURFEW OF MIDNIGHT WHICH MEANS NO MUSIC OR NOISE OF ANY KIND, EVERYONE INSIDE THEIR TENT / VAN / ACCOMMODATION, NO ALCOHOL CONSUMPTION AND VOICES TO NO MORE THAN A WHISPER. BASICALLY WE EXPECT COMPLETE SILENCE ON SITE BETWEEN MIDNIGHT AND 8AM. OUR SITE IS NOT SUITABLE FOR GROUPS WHO WISH TO STAY UP BEYOND MIDNIGHT. PLEASE BE AWARE OF THIS AND ALL OTHER TERMS AND CONDITIONS AND SITE RULES OUTLINED BELOW.
Standard Ts & Cs
Booking, Deposit & Payment:
For all bookings, 50% deposit is required at the time of booking. The remaining 50% is due 30 days before check in. There is also the option to pay 100% of your booking fee at the time of booking should you prefer to do so. Non-payment of remaining 50% balance will be considered a cancelation. Our system will send an email to the email account that you enter when booking, however in case there are any issues with your email account, or the email goes into your spam/junk folder, please make a note to remind yourself. Where bookings are made within 30 days of check in, full payment is required at the time of booking.
Cancelation Policy:
Bookings cancelled more than 30 days before arrival: Deposits/payments are refundable (minus booking fee approx 3%)
Bookings cancelled less than 30 days before arrival but more than 72 hours before 2pm on your arrival day: Booking fees are not refundable however the booking may be re-scheduled to an off-peak time within 1 year of your booking date.
Bookings cancelled less than 72 hours before 2pm on your arrival day: Booking fees are not refundable however the booking may be re-scheduled to an off-peak time (midweek only) within 1 year of your booking date.
Bookings may be re-scheduled one time only.
Off-Peak times (Glamping) are as follows:
All days in March, April, October, November, and Sunday to Thursday inclusive during May, June and September, excluding the following:
-Bank holiday weekends (including Sunday nights)
-Bank holiday eves
-One week either side of the easter bank holiday weekend
-One week either side of the October bank holiday weekend
Off-Peak times (Camping) are as follows:
All days in March, April, May, September, October, November, and Sunday to Thursday inclusive during June, excluding the following:
-Bank holiday weekends (including Sunday nights)
-Bank holiday eves
-One week either side of the easter bank holiday weekend
-One week either side of the October bank holiday weekend
Refunds cannot be made for any amendments made to the booking on arrival or during your stay, including duration of your stay, or reduction of the number of guests in your party.
We only allow bookings by Adults, and all groups of guests must include at least 1 adult. By booking you are confirming that you are 18 years of age or older.
Arrival/Departure:
On arrival, all guests are to report to reception. Your arrival is welcome from 2 p.m. If there are any outstanding payments to be made, access to the park will not be permitted until payment is received in full. All guests are requested to arrive before 6 p.m. unless alternative arrangements have been made with reception (please phone or email at least 48 hours in advance of your stay). Generally, later arrival is not a problem, however we will need to know in advance.
Checkout time on the day of departure is strictly 11am. for both touring & camping and glamping / accommodation hire. No refunds can be given for departing nights early.
Glamping / Accommodation Hire:
Beds, and bedding (duvets, pillows, covers etc) are provided however towels are not. The exception to this are yurts with private hot tubs, which includes a towel for each guest. Please review the information given for each accommodation unit to ensure the number and size of beds is suitable for your group. (ie yurts sleep 4 people in 3 beds (1 double & 2 singles). we can provide acamping bed on request where needed.
Smoking is NOT allowed inside the accommodation, near window/door openings, or inside any building on site. We do not allow pets inside any of our accommodation or the surrounding areas of the accommodation. (other than the ‘Yurty and the tramp’ yurt and deck which is dog friendly.) If you have booked any accommodation other than this yurt, you are not allowed to bring a pet with you on your stay. Pets are welcome with camping/touring bookings.
You must use your accommodation and its contents with care and leave it in a clean and tidy condition on departure. We reserve the right to charge you for any extra cleaning, missing items or damage. Many of the items in our different accommodation units hold sentimental value for us, so please take care of them. We reserve the right to enter your accommodation at any time for any reasonable purpose, for example, to make checks, maintenance work or housekeeping.
Camping / Touring:
Camping / touring is by pre-booking only (no walk-ins). Bookings are by phone or online only. 100% of your booking fee must be paid prior to your arrival.
Electricity is supplied as a standard caravan supply - 6amps on Robin's nest pitches, 16 amps on Mootown pitches. Only low voltage caravan rated appliances should be used. (kettle rating 1 kw max).
Dogs:
Dogs are allowed on the park, (Touring / Camping or ‘Yurty and the Tramp’ yurt guests only) but must be kept on a short lead and supervised by an adult at all times. Please be mindful that many people are scared of dogs, and big dogs in particular. If any dog on site is making other guests feel uncomfortable, the dog will unfortunately have to leave site, which generally means the dog owner will have to leave site, without a refund. Please consider whether it is suitable to bring your dog on your trip. By bringing your dog to Willowbrook you are accepting full responsibility for its conduct and behaviour. Any dog that is deemed to be unsuitable, making other guests feel uncomfortable or being a nuisance will result in the owner being asked to remove it from the site immediately. Dogs are not allowed in any buildings (other than the Ýurty and the Tramp’ yurt.)
Please note we have a number of resident rabbits on site as well as birds and other wildlife. It is your responsibility to ensure that your dog does not interfere with the wildlife.
It is each dog owner’s responsibility to clean up immediately after their dog defecates regardless of what part of the property it is in. We expect that dog owners will bring their own bags for this purpose, however if you forget, please ask for bags at reception. Anyone found not to be “clearing up” after his or her dog will be asked to leave immediately with no refund given.
Under the Control of Dogs Act 1986, all dog owners by law must have a dog licence, and all dogs must be under the control of their owner or another person capable of controlling them. Certain breeds must be muzzled when in a public place. Please know your responsibilities.
Children:
Children remain the responsibility of their parents/guardians at all times. Children must be within plain view of a parent / guardian at all times while in the main campsite (north of the phoenix gate). The large area to the south of the phoenix gate includes some additional hazards such as uneven ground, open drains and the lake and river bank. Children must be closely accompanied by a parent / guardian at all times when south of the phoenix gate. It is the parents/guardians responsibility to ensure that their children are well behaved and don’t cause a nuisance to or harm themselves or others while on site. We do not accept liability for any injury suffered by, or caused by unsupervised children on site.
Site Hazards
Please bear in mind that you are in the countryside, in nature, and on an active site, where we are often undertaking farm operations, construction or large scale art projects. There are numerous safety hazards on site which you should bear in mind during your visit. These include but are not limited to uneven ground, open drains, falling branches, open water (river & lake) falls from edges of decks, wood fired hot tub, wood fired pizza oven, traffic, stinging plants, stinging insects, slippery surfaces (such as the deck of the Japanese tea house and other decks) thorny, spiky and poisonous trees and plants, farm machinery, lawn mowers and other other heavy duty gardening and construction tools and plant. Please note that this list is not exhaustive. By booking you are confirming that you and all members of your party accept that the site contains numerous hazards, including those listed, and that you accept the associated risks, and have sufficient common sense to avoid injury. More detail on site hazards can be seen at the end of this Ts & Cs document.
The Phoenix Gate:
The phoenix gate is the clearly marked red gate which separates the main campsite (north of the gate) from the rest of the site (south of the gate). The large area to the south of the phoenix gate includes more of the above mentioned hazards such as uneven ground, open drains and the lake and river bank. Children must be closely accompanied by a parent / guardian at all times when south of the phoenix gate. There is no access south of the phoenix gate after dark. The Phoenix gate will generally be locked every night and opened again at 8am in the morning. The ‘No Access’ time changes throughout the year and will be clearly signposted at the gate. Any person found south of the phoenix gate after dark, or after the ‘ No Access’ time, may be asked to leave site without refund.
Pizza oven:
Our pizza oven is available to guests of the site. Please note that the inside of the oven can become very hot and care should be taken when using the oven. The pizza oven should only be used by an adult who is experienced in lighting fires and can do so safely. Simple instructions for lighting will be posted in the pizza oven area.
The pizza oven is to be used to cook pizza packs supplied by Willowbrook only.
Hot tub:
Certain Yurts include use of a private wood fired hot tub on the deck. The hot tub will be filled on arrival, and cleaned and refilled every 48 hrs during your stay. The Guests will need to light the fire to heat the hot tub. The wood burning stove of the hot tub should only be used by an adult who is experienced in lighting fires and can do so safely. By booking the one of these yurts, you are confirming that you or a member of your party are capable of safely lighting and maintaining the fire. The hot tub should be used when the water has reached a temperature of between 38 and 40 degrees. Depending on atmospheric conditions, a well maintained fire can take anywhere between 1.5 and 2.5 hours to reach this temperature.
Care of Your Possessions:
It is your responsibility to look after and care for your possessions, valuables and money whilst on site. You should not leave these items unattended in your accommodation or anywhere else around the Park. We recommend that you be comprehensively insured. In case of any loss, please contact reception in the first instance. We do not accept any liability for loss or damage to your possessions.
Changes To Your Holiday by Us:
Willowbrook Camping & Activities Ltd. cannot accept responsibility or compensation for circumstances beyond our control including (but not limited to) natural disasters, industrial disputes, fire, technical problems, bad weather, acts of government, etc. We will use all reasonable endeavors to ensure that the site is open for use by visitors during normal opening hours. However, we reserve the right, whether for safety reasons or otherwise, and with or without prior notice, to close the park or any part of it. In the event of a full closure, we will refund any customer the cost of his/her payments for accommodation. We try to be as weatherproof as possible, but everything has its limits, and safety comes first, so if we feel the park is unsafe for guests, then we will cancel bookings and offer a full refund.
Dangerous Items:
No shotgun, knife, firearm, air weapon, archery equipment, fireworks (including sparklers), Chinese lanterns, illegal substances or similar item may be brought onto our Park under any circumstances by you or anyone in your party.
Compensation Payable By You:
By booking you agree that we have the right either during or after your stay to recover from you, whether via the credit/charge or debit card used to pay for the break or otherwise, the costs of:
- Any property or accommodation damage, and/or
- Any cleaning over and above the the level normally required after use of an accommodation unit or any communal area on site, as determined by Willowbrook Camping & Activities Ltd.
- Any compensation we may pay to others, and/or
- Any other costs, fees or levies which we may incur, resulting from your action or inaction and from any breach of this agreement.
Behaviour and Compliance with this Agreement:
As the person booking, you are responsible for the behaviour of all members of your party.
Behaviour should be in keeping with the family environment here at Willowbrook and should not be excessively noisy or disruptive, especially at night. Offensive or illegal behaviour will not be tolerated and may result in the police being involved.
Offensive or aggressive behaviour or language towards our staff or other guests is not acceptable. We may ask you and/or any member of your party to leave immediately if your conduct results in police attendance or is considered by us to be inappropriate; likely to cause harm; or impair the enjoyment, comfort or safety of anyone; or is likely, in our belief, to breach any of this agreement.
No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from you or any member of your party.
General/Liability:
All vehicle’s/caravan’s etc. are parked at owner’s risk. Willowbrook Camping & Activities Ltd. accept no liability for loss or damage while on the park or otherwise.
Anyone found vandalizing or causing damage to any building, equipment or property of the park faces immediate eviction and/or prosecution. The person who booked will be responsible for all charges for all damage/breakages/loss caused by themselves or their visitors to the site or park facilities or other customers’ property.
Willowbrook Camping & Activities Ltd. reserves the right, in its absolute discretion, to refuse entry on to or remove from it’s premises or the vicinity any person who:
- Has been convicted of a criminal offence
- Has behaved in a manner or is likely to affect the safety or enjoyment of other visitors
- Has used threatening, abusive or insulting words or behaviour or in any way provokes of behaves in a manner which may provoke a breach of peace.
- Is thought to be intoxicated or under the influence of other substances
- Is staying on the Park for any other use apart from holiday use
Phone & internet:
Please note that phone and internet reception on site is poor. Vodafone has the best coverage and connection can be made in some parts of the site. Our Landline is available for emergencies only.
Fire:
The fire assembly point for the caravan park is the parking area to the right 30m inside the main entrance. In the event of an emergency dial 999 for the emergency services and notify a staff member immediately.
Data Protection:
The information supplied on the booking form will be stored on computer for administrative purposes and to contact you regarding this or any possible future stays with us. Under no circumstance will this information be provided to a third party.
Important Information:
This agreement and any dispute between us will be governed by and construed in accordance with Irish Law. You agree to submit to the exclusive jurisdiction of the Courts of the Republic of Ireland over any matter arising out of our agreement or your visit. We must both act reasonably in selecting or agreeing any jurisdiction including any forum for dispute resolution.
Your stay will not give rise to any tenancy agreement between us.
Should any part of our agreement be deemed by law to be void, the remainder of this agreement will, if capable, continue in full force and effect. The headings in this agreement are included for convenience only and shall not affect its interpretation or construction.
In all cases, except personal injury or death, our liability to you for the total of all claims arising out of your break with us is limited to the cost of your booking less cancellation, amendment or separate charges. We will not be responsible for any matters that result from any unforeseeable events that are beyond our control.
Site Rules
- All guests must check in at reception on arrival. Check in time is 2pm-6pm.
- Reception hours are 8.30pm – 8pm. For emergencies outside of these hours please call (0949861307).
- All visitors to the park must check-in at reception and visit during visiting hours (10 a.m. to 8 p.m.).
- No commercial or transit vehicles are permitted on site.
- Vehicles must be parked on gravel areas at camping pitches and glamping units, or in the parking area. Please ensure vehicles are parked neatly, not obstructing the road, and never driven or parked on grass.
- Checkout time on day of departure is by 11am.
- Children under 18 years of age must be supervised by and within view of a parent / guardian at all times while on site. Parents / guardians must take children with them if leaving site during their stay.
- There is a strict noise curfew on site from midnight to 8 a.m. This means everyone inside their tents/vans/units, no music, no alcohol consumption, and any talking must be kept to a whisper. Please respect your neighbours by adhering to this. If a neighbour is making noise after midnight, please politely request that they respect the curfew in the first instance. If you meet any resistance to your request, please call reception (09498 61307) and we will deal with the situation.
- Anyone causing disturbances on the site will be evicted from the park with no refund given. Please be mindful of neighbours when using TVs / Radios / listening to music at all times but particularly between 10pm and midnight.
- All dogs must be kept on a short lead and supervised by an adult at all times. Any damage caused by dogs are the responsibility of the dog owner, and cost of damage will be charged accordingly. Dog owners are responsible for disposing of their own dog’s poops. Dogs are not allowed in any building other than the ‘Yurty & The Tramp’ yurt. The owner of any dog acting aggressively or creating a disturbance to other guest will be asked to remove the dog from site immediately without refund.
- No camp fires at pitches / glamping units. Barbeques are allowed for cooking purposes only (not to be used as fire pits) and must be used on gravel areas, not on grass, and not on decking outside the yurts. Our communal fire pit is available to use. Fire to be started by Willowbrook Personnel only. Children must be accompanied by a parent / guardian while in the fire pit area.
- We have a working Music Studio / Rehearsal Room on site from which you may hear music from time to time. Studio hours are 10am-10pm (july & August) and 10am-11pm(other months). Please do not disturb anyone working in the studio. Contact reception if there are any disturbances from music outside of these hours.
- All caravans/motorhomes/campervans and vehicles must be insured while on site.
- Naked flames are prohibited within yurts. Smoking is prohibited in all accommodation and other buildings on site.
- Guests are responsible for keeping communal areas tidy and for recycling waste in the facilities provided. Please ensure that only clean recyclables are placed in the blue bin.
- Any damage / breakages / missing items must be reported and paid for.
- There is no access to any fenced off area of the site at any time. Gates, fences, temporary fences or hedgerows are not to be scaled or crossed. Only unlocked gates are to be used to access one part of the site from another. Obey ‘No Entry’ signs and all other signage on site.
- The Phoenix gate gives access to the ‘lower site’ area to the south of the gate. Access past this gate is not allowed during hours of darkness each night. ‘No Access’ time changes throughout the year and is posted clearly at the gate. Any guest found accessing the lower site or remaining in the lower site area past locking time may be asked to leave site immediately without a refund. Children must be accompanied by a parent / guardian at all times when they are south of the phoenix gate or in the fire pit area.
- The low (southern) end of the property contains open water (lake and river bordering site). No child or adult is allowed within 2m of the waters edge at any time, other than on the deck of the Japanese tea house which has got a locked gate to act as fall protection. There is no access allowed onto the raft which is docked in the lake. Fishing from the river bank is allowed, however 2m distance from water must be maintained.
- Guests must stick to roads, paths and mowed grass areas when on site, particularly south of the phoenix gate.
- Please do not approach or access any building/shed/barn/machinery or agricultural or building materials south of the phoenix gate
- Please do not approach any maintenance/farming/building machinery operations or vehicle in use. Willowbrook is a working site with constant building and maintenance. Please be aware of your surroundings and steer clear of any work being carried out.
- All disposable BBQ’s must be cooled and disposed of responsibly. Do not place hot barbeques into the bins.
- Gas cylinders must be properly recycled and not placed in general rubbish.
- The speed limit for all vehicles on site is 8km/hr, which is 5 mph, which is…..walking pace. Please drive carefully, there are children about.
- Use of illicit drugs on site is forbidden. Excessive consumption of alcohol or intoxication is forbidden.
- Equipment in the campers kitchen including gas stove is to be used by adults only. Children must be accompanied by an adult when in the campers kitchen. All hobs must be turned off after use. All kitchen equipment must be cleaned and put back in its place ready for the next guest following use.
- Before accessing the accommodation or camping pitch, guests must make themselves familiar with the site rules. It is the responsibility of the person checking in to ensure that all members of your party are aware of the site rules.
Site Hazards
Guests and visitors are asked to bear in mind that you are in the countryside, in nature, and on an active site, where we are often undertaking farm operations, construction, or large scale art projects. There are numerous safety hazards on site which you should be aware of during your visit, including the following:
- Uneven Ground – We do our best to maintain our mowing and keep everything looking neat, but certain areas of the site (even mowed areas) are quite uneven underfoot. Our roads are gravel roads and potholes frequently appear. Please be very careful walking on all parts of the site.
- Falls from height – There are lots of small and large drains running along the borders of fields and edges of structures. The areas of land beside these can become overgrown as we allow our wildflowers to bloom at certain times of the year, so please take care to avoid stepping in a drain. We also have decking and platforms beside yurts and in other areas throughout the site. Care is to be taken while on these decks.
- Falling branches – We have many trees on site of all shapes and sizes, and we are in quite an exposed area, so they do from time to time drop a branch. Please be mindful of this particularly in windy weather.
- Open Water – We have a river bank and a lake on site. Due to reeds and grasses growing in the water, the exact location of the waters edge can be hard to see, so please observe the 2m exclusion zone which is in place at all times. We also have a hot tub on site at our ‘Yurty Ahern’ yurt. Please be aware of this and particularly keep little ones within your sight at all times – even if your group are not using the hot tub.
- Fire – We have a wood burning pizza oven and a wood fired hot tub on site. Please take care when using these and follow instructions provided. Barbeques are also used by guests from time to time. Again please keep an eye on your little ones to ensure they do not go near any of the above.
- Traffic and farm / construction machinery – This is a year-round working site. Please be aware of your surroundings when traffic or machinery are in the area including tractor and ride-on lawn mowers which are used on an almost daily basis.
- Plants, animals & insects – We are in Nature! There are a number of stinging, poisonous and thorny plants growing all around site as well as lots of insects, spiders, cats, birds, mice, rabbits, hares and all sorts of other wildlife that you will see from time to time. Some do like to chance their arm and come indoors, so please feel free to remove them from any buildings taking care not to hurt them if they do appear.
- Slippery surfaces – Remember…wet surfaces can be slippy! Decks, floors in the kitchen and toilet block and the floor of the Japanese tea house by the lake are often wet from cleaning or rain. Please take very good care when walking on these surfaces.
